Customising Workflows content fields

This article describes how to create or edit questions, upload requests, site information and images to build your workflow forms.

To get started, navigate to the Response Form tab for the workflow you want to edit.

Then, click Add Field to access a dropdown list of form field types.

Below, we will take you through the different field types available in your workflow.

Date Picker

The Date question allows people to select a date, in the three most common formats:

Text box

The question type can be changed at any point in time, complete the field with your question or instruction and select if an answer is required or not.  

The respondent will be presented the question with a text box to type an answer. Example below:

File Upload

This field is utilised when a document or any other file capture is necessary. Specify the document requested in the field and select if uploading is required or not, you can also select if respondents need to input an expiry date for the document. When the document is nearing expiry, the respondent will be notified to update the document and if the document expires, the response will become invalid.

Fixed Text

Use this field to display information in text format. For example, this could be site instructions followed by another field, such as signature, where the respondent agrees with the content. This field will also allow you to embed external links into the form. The link will open in new tab.

Fixed Image

Use this field to show any image to respondents. This could be an evacuation diagram, safety instructions or any other image. To upload, drag an image directly into the field or click to browse files on your device.

The respondents will be presented the image as in the example below:

Multiple choice

Use this when you want to offer a range of answers to a question. You can also allow multiple selections, and set this question as required if an answer is mandatory. Insert a new answer option by clicking Add Option.

The Use as condition toggle can be used to set up branching logic in your workflow and help remove the need for respondents to read through information that is not relevant to them (based on their answers to earlier questions).

Yes or No

Use this for closed questions – where the answer is ‘yes’ or ‘no’. Fill in the field with your question and select if this answer is required or not.

For this field type, you can also set a Correct Answer and an action for invalid responses—either block submission, which will require the respondent to change their answer before they submit, or approval required, which flags the response for admin review and approval if you have automatic approvals otherwise enabled.

Page Break

The page break field can be used to break up a workflow into pages, useful for long documents.

If you are using a multiple-choice question as a condition, this is also where you will set up that condition and determine who will see the content within this page break.

PDF upload

Upload important documents that you require visitors to view prior to checking in. This could be health and safety protocols or any other PDF content you wish. You can also add a question to ensure that the document has been read and understood.

Video viewer

Insert key videos for all visitors to view, including site inductions. You can also make the video 'Required' to ensure that all have viewed and understood and ask questions about the video. Video viewer supports links from Vimeo and Youtube.

Signature

Request a signature from the respondents. You can insert a question or instruction to be presented prior to the signature field. Fill in the field and select if signature is required or not.

Don't forget to save!

After you have finished building your workflow, make sure you head to the top right of the page and select Save to confirm your changes.
